Employee Leave Requests

 

This function displays a list of requests already submitted in the Requests Submitted tab.

 

You may submit new leave requests using the Request Leave tab.

 

Note

An authorized user may also access this function directly from the Leave Management menu. After Division Selection, select the Employee.

Requests Submitted

This tab shows the status of all your requests, color-coded for Pending, Approved and Denied requests.

You may facilitate your search for a specific Request by selecting a filter from the drop-down box.

You may also sort requests by any one of the column headers by clicking on it.

Request Leave

This tab allows you to submit a Leave Request.

Select/enter employee data as follows:

Leave Type

Start Date

The date your leave will start (you may also select it from the pop-up calendar).

 

End Date

The last day of your leave (you may also select it from the pop-up calendar).

 

Reason Type

Provides more specific information as to the nature of the leave.

If the Leave Type is general in nature, like PTO (Paid Time Off), a reason type like vacation or sick provides additional information for the approver when considering your request.

Hours

Enter the number of hours requested (up to two decimal places supported)

 

Accrual Type Leave

If the requested Leave Type is based on accruals, the system calculates the amount of leave hours derived from the leave dates and populates the Pending Requests field.  These hours are then subtracted from the Hours available to arrive at the hours Available to request.

 

 Note

All Earnings Types defined in Vault's Company Earnings Master are not necessarily available to the employee when making a Leave Request.  For example, a company may accrue bonuses for their employees but they would not be able to take leave against this earning.  

In addition, for an employee to request leave against a particular earning type like vacation, the earning must first be associated with that employee in Vault's Employee Earning Master.  Secondly, the earning must be selected by authorized personnel using the Administration function (Configuration) as being available to an employee in the specified Division.  Thirdly, the earning must be "active".

 

Submit Leave Request

Click to submit a leave request for the specified day(s). The system automatically updates the employee's work schedule.

Note

A leave request that overlaps days with a current pending request is not allowed.  If you submit such a request, the system displays an appropriate message: "A request already exists that is in the selected date range".

 

An employee leave request automatically generates an E-mail as follows:

 

From:

The user that is currently logged in.

To:

 

All users (usually managers) with “Receive Email” permissions under Employee Leave Request.

 

Cc:

The employee that requested leave.  If the user currently logged in is requesting their own leave, the Cc will not be entered.

 

Leave Attachments

The Attachments tab displays a list of the selected employee's requests.

 

Click to display a list of current attachments for the request.

Attachments are maintained as described in My VIP and are associated with individual requests.
